Refill Pouch Fulfilment UK

Refill pouches save space on a product shelf but still need a careful fulfilment brief. Size, formula and packaging strength affect picking and protection. 3PLWOW can discuss fulfilment for suitable sealed refill products, including single pouches, multipacks and combinations with reusable containers.

Distinguish refill and starter products

A refill pouch and a starter container are different retail units, even when they hold the same product. Give them separate SKUs, weights and reference images. If your brand offers a container-plus-refill bundle, define the exact components. Explain whether scoops, closures or other accessories are included by the supplier or added during packing.

Test the pouch within its outer package

Share filled product samples and identify closure, seal and puncture risks. Protective materials should be assessed with the real contents and typical mixed orders. A hard accessory beside a pouch can change the protection needed. Do not assume that a flexible product can be folded, compressed or shipped in an envelope without an agreed packing test.

Connect renewal rules to the right order data

A first order might include a reusable container, while a renewal contains only a pouch. Those instructions need an identifiable trigger and clear SKU mapping. State how cancellations, customer changes and stock shortages reach the warehouse. Fulfilment acts on the order information supplied; subscription billing and customer account changes remain with the selling system unless separately agreed.

A WORKED EXAMPLE

Make the brief practical

Example brief: a starter order contains one reusable container and two pouches. A repeat order contains two pouches only. Both use the same pouch inventory, but the container must not be added to every renewal.

What to prepare

  • Refill/starter SKU definitions
  • Filled samples and seal protection requirements
  • Container and accessory bundle recipes
  • First-order and renewal instruction triggers

Questions to settle before go-live

Can you refill or decant the product?

This page concerns dispatch of sealed retail-ready refills. Filling, decanting and manufacturing are separate services and must not be assumed.

Can packaging differ between first and repeat orders?

Yes, different documented order profiles can be discussed. Supply clear triggers, packaging examples and a process for changing those instructions.
