PRACTICAL GUIDES · 3PLWOW
Ecommerce Packaging Brief Template
A packaging brief turns brand presentation into repeatable instructions. It should explain contents, materials, sequence and exceptions in terms a packing team can use. Prepare one brief for each meaningful order profile, then agree a reference sample before fulfilment goes live.

Describe the order and materials
Name the profile and list the products, quantities and packaging components. Include the outer carton, protective materials, inserts, seals and presentation items. Provide dimensions and identifiers for branded supplies. Explain which materials you supply and which are sourced through the warehouse. Do not leave a packer to infer a material from a promotional photograph.
Write the packing sequence
Set out the practical order of work: choose the specified box, add protection, position products, include the correct insert and close the parcel. Identify the checks that matter to your brand. Photographs can show the accepted result, while written steps explain what must remain consistent. Keep the instructions workable for single orders and mixed baskets.
Record approval and changes
Give the brief a version, date and owner. Define what happens when a material runs out, an item does not fit or the customer orders a different combination. State who can authorise alternatives. When the packaging changes, update the brief and confirm how existing materials are handled. An approved sample is useful only if the team knows which version it represents.
A WORKED EXAMPLE
Make the brief practical
Example brief fields: profile name; applicable SKUs; materials list; packing steps; insert rule; finished-pack image; shortage decision; approver; version and effective date. A gift profile can reference the standard protection rules while adding its own presentation sequence.
What to prepare

Questions to settle before go-live
Is a photograph enough?
A photograph helps but may not identify hidden protection, material codes or exception rules. Pair it with a written sequence and component list.
Can I use one brief for every order?
Only where it genuinely covers the allowed combinations. Separate profiles are often clearer for singles, large baskets, gift sets and subscription starters.
