Inbound Carton Labelling Guide for Ecommerce Brands
Clear inbound carton labels help a warehouse understand what has arrived before it opens or counts a delivery. The useful label is the one that matches the receiving brief, packing list and product catalogue. Confirm the warehouse requirements first, then use this guide to organise the information.

Identify the delivery and carton
Include the brand or client name, inbound delivery reference and a carton number that relates to the packing list. Carton 3 of 12 is more useful when the receiving team can connect it to the same reference on the delivery paperwork. Keep old courier or warehouse labels from causing confusion, particularly when cartons are reused.
Describe the contents at the right unit level
Show the SKU and the quantity of retail units, or make the case relationship explicit. A label saying quantity 10 can mean ten products or ten inner packs. For mixed cartons, provide a readable contents list that matches the packing list. Identify any batch/date details required in the agreed receiving process and keep different product conditions distinguishable.
Check readability and consistency
Labels should be legible after normal transit handling and attached where receiving staff can see them. If barcodes are used, confirm their format and meaning with the warehouse. Test a sample rather than assuming any printed code will work. The physical labels, booking reference and electronic file should describe the same shipment.
A WORKED EXAMPLE
Make the brief practical
Example label fields: client name; inbound reference; carton number; SKU; retail-unit quantity; batch/date details where agreed. A mixed carton should say mixed contents and refer to an itemised list, not present one SKU as if it describes everything inside.
What to prepare
- Client and inbound delivery reference
- Carton numbering matched to packing list
- SKU and unambiguous unit quantities
- Readable labels and any agreed batch/date fields
A starting template for your team
Copy these fields into your working brief and use the checklist above to add the details for this task. Agree any required file format with your fulfilment contact before sending the final version.

Questions to settle before go-live
Is there a universal carton label format?
No. Use the receiving warehouse and relevant customer’s requirements. This checklist is a starting point, not a replacement for their agreed format.
Should mixed cartons be avoided?
Ask the receiving team how mixed cartons should be packed and documented. The key is a clear itemised record and a method that suits the agreed receiving process.
