Promotional Insert Management for Fulfilment
A leaflet, sample card or offer can change the customer experience, but only when it reaches the right orders. Insert instructions need rules for eligibility, versions, stock and end dates. 3PLWOW can discuss promotional inserts as part of a documented pick-and-pack workflow.

Define the orders that qualify
State whether an insert belongs in every parcel, first orders only, selected products or a specific campaign. Use a rule that can be identified from the order data. If customer information or a platform tag is required, confirm that it reaches the fulfilment workflow. An offer description in a marketing plan is not enough to trigger warehouse action.
Control versions and effective dates
Give each printed version a clear name or identifier, including its start and stop instructions. Explain what happens to orders already received when a campaign changes. Decide how unused material is held, returned or withdrawn. Prevent an expired offer reappearing simply because an old carton of leaflets remains near a packing bench.
Plan stock and substitute decisions
Include inserts in your material forecast and tell the warehouse how shortages should be handled. Is an order allowed to ship without a leaflet, or should the campaign owner be contacted? If an insert adds thickness or changes the package, assess that effect using a sample pack. Design and print production remain separate tasks unless agreed.
A WORKED EXAMPLE
Make the brief practical
Example brief: a welcome card goes into first-order starter kits, while a seasonal voucher goes into all eligible orders during an agreed window. Two identified materials and two explicit rules are clearer than a single instruction to add the latest leaflet.
What to prepare
- Insert identifier and artwork version
- Eligibility rule supported by order data
- Campaign start/stop instructions
- Shortage and leftover-material decisions
Questions to settle before go-live
Can different stores use different inserts?
That can be discussed when the store or order source is identifiable in the workflow. Supply a rule for each source and test the result with representative orders.
Can an insert change the delivery format?
It can affect thickness, weight or protection. Check the complete package against the chosen carrier service rather than assuming a small printed item has no effect.
