Replacement & Resend Order Fulfilment UK

Replacement orders need clear instructions just like new sales. They may be free to the customer while still using products, packing time, packaging and postage. 3PLWOW can discuss a documented workflow for authorised replacements and resends, with a clear distinction between the customer transaction and warehouse work.

Authorise the exact replacement

Identify the original order, replacement items, quantities and delivery address. State whether the entire order is being sent again or only one missing or damaged component. Use a unique replacement reference so the warehouse can distinguish the new dispatch from a duplicate import of the original order. Agree who is authorised to approve it.

Keep records and charges traceable

A free replacement is not necessarily a zero-cost warehouse activity. Agree how pick and pack, packaging and postage are recorded, and how your team can reconcile them to the replacement reference. Avoid counting the same dispatch once as an imported order and again as a separate manual resend. A clear record helps both customer service and month-end invoice checks.

Set a delivery and returns decision

Specify the service to use and whether a return is expected before or after the replacement. A customer complaint should not leave the packer to infer an urgent service upgrade. If a different variant or substitute is authorised, write that decision into the replacement instruction. Track outcomes through your agreed customer-service process.

A WORKED EXAMPLE

Make the brief practical

Example brief: the original order contained three items but one accessory was missing. The authorised replacement contains only that accessory, carries its own reference and uses the agreed delivery service. It should not automatically recreate the whole original basket.

What to prepare

  • Original-order and unique replacement references
  • Exact authorised items and address
  • Service and return instructions
  • Charge records that avoid double counting

Questions to settle before go-live

Does a customer refund cancel warehouse charges?

Refunds and fulfilment work are different records. The treatment of handling and postage should follow the agreed service terms and the work actually carried out.

Should a replacement reuse the original order number?

Keep a link to the original order but use a distinct replacement identifier where the system requires one. Test the process so it cannot be mistaken for a duplicate order.
